The corporate activities of Hamamatsu Photonics K.K. and its group companies * 1(“HAMAMATSU Group”, “we”, “us,” and “our”) are based on relationships with its stakeholders including, but not limited to our customers, shareholders, business partners including suppliers, contractors, subcontractors, dispatching companies, government agencies, job candidates, directors, employees, contract employees, part-time employees and retirees from HAMAMATSU Group) (“you” or “your”).

HAMAMATSU Group has established this Group Privacy Notice (“Notice”) for the processing * 2 of your personal data, and your personal data will be appropriately managed and protected in accordance with this Notice.

 

  1. Your personal data will be collected, stored, used, and disclosed only if necessary for our business purposes, employment, and personnel management.
  2. When your personal data is collected, we will identify or notify the purpose of its use and only use your personal data for such purpose.
  3. We will take necessary measures in order to prevent your personal data from being leaked, lost or altered, and manage your personal data appropriately.
  4. We will constantly review and improve protection of personal data based on general needs, latest IT technology and other factors.
  5. We will respond in good faith to your requests to disclose, correct, add, delete, cease the use of your personal data, or share it with third parties.

How your personal data will be processed by us in all countries and regions around the world is as described below. This Notice is written in Japanese and translated into other languages. In the event of any conflict between the Japanese and other languages, the Japanese Notice shall prevail.

*To the extent permitted by applicable data protection laws, we may collect sensitive personal data, such as information related to religion or ethnic origin, information related to salaries and compensation, medical and health-related information, publicly issued certificates / ID numbers and biometric information. We will pay extra attention to managing the safety of such sensitive personal data. Please note that such sensitive personal data is necessary for recruitment, managing employees and their health and exercise of rights and performance of obligations under laws and regulations applicable to HAMAMATSU Group, and our processing of your sensitive personal data will not adversely affect your rights and interests.

3. Transfers of Personal Data

In accordance with laws and regulations, we may transfer your personal data described in Article 1 to the following third parties.

  • Sharing or shared use among HAMAMATSU Group
    We may transfer your personal data to our Group Company(ies), only to the extent necessary for the purposes listed in Article 2.
  • Transfer to Contractors
    For the purposes listed in Article 2, we may provide your personal data to contractors such as information system service providers, data processing services, sales agents, business partners, financial institutions, transportation companies, recruitment agencies, and medical institutions. We will select contractors that can meet the necessary level of protection of personal data and who are deemed to process it appropriately. We will sign contracts with our contractors and manage/supervise them appropriately.
  • Transfer to Supervisory Authorities, Public Institutions, Lawyers, etc.
    We may transfer your personal data to supervisory authorities, public institutions, attorneys, social workers, tax accountants, auditing firms, etc., in the relevant country or region as necessary for tax deductions and other legal procedures.

6. Storage Period of Personal Data

We will only store your personal data for a limited period of time in accordance with the applicable laws and regulations, or as necessary to achieve the purpose of the processing described in Article 2.

We will promptly delete or destroy your personal data when the stipulated period or the specified data storage period has expired, when you request deletion, or when you withdraw your consent, in accordance with your rights described in Article 7 below.

If you are dissatisfied with our response to your request, or if you have a complaint about the way we process your personal data, you have the right to file a complaint with your local supervisory authority, according to the laws and regulations of the country or region where you live.
