Hamamatsu Photonics Group Material Procurement Policy

Hamamatsu Photonics Group has a philosophy: we procure ideal and optimum "goods and services" based on QCDM (Quality, Cost, Delivery, Management) from the global market in full compliance with laws and social norms. We are committed to promoting sustainable procurement practices that consider environmental protection, human rights and labor, safety and health, and corporate ethics.

1. Legal compliance

We do not infringe on any intellectual property rights and other rights of third parties, and we comply with all related laws and regulations including subcontracting laws and antitrust laws in our procurement transactions.

2. Fair and equitable transactions

We will disclose information on purchase requisitions in a timely and appropriate manner and always provide domestic and international suppliers with trading opportunities based on open competition.

3. Fostering partnerships

To ensure a stable supply, quality assurance, and drive continuous improvement, we foster partnerships based on mutual trust and a long-term perspective of coexistence and shared prosperity.

4. Promotion of sustainable procurement

We encourage suppliers to carry out procurement and production activities that take into account environmental protection, human rights and labor, safety and health, and corporate ethics, in accordance with the "Hamamatsu Photonics Group Basic Policy of Sustainability." We require suppliers to comply with the "Supply Chain Code of Conduct" and mutually confirm the legitimacy of their production activities.

5. BCP measures

We encourage the formulation of a business continuity plan to minimize production damage, ensure business continuity, and facilitate early recovery in the event of emergencies such as natural disasters, earthquakes, or geopolitical risks.

6. Responsible minerals sourcing

The "Hamamatsu Photonics Group Responsible Minerals Sourcing Policy" requires the sourcing of minerals such as tungsten, tin, tantalum, gold, and cobalt from conflict-free smelters certified by the Responsible Minerals Initiative (RMI). We also encourage suppliers to respond to the survey on responsible minerals sourcing using the "Conflict Minerals Reporting Template (CMRT) "and the "Enhanced Minerals Reporting Template (EMRT)".

7. Confidentiality

We will manage and protect confidential information, intellectual property, and supplier assets during our procurement activities. In addition, we promote efforts to reduce information security risks in managing information and assets prepared for suppliers.

8. Fulfillment of contractual obligations

We kindly request the cooperation and understanding of our suppliers to complete the surveys related to Corporate Social Responsibility (CSR), Business Continuity Planning (BCP), Quality Management Systems (QMS), and Environmental Management Systems (EMS). Additionally, submission of the 4M change application, export trade control order/foreign exchange order application, chemical substance surveys, and responsible mineral surveys are mandatory as per our procurement contract. We encourage our suppliers to maintain accurate information, cooperate in timely investigations, and provide information as required.
