Hamamatsu Photonics Group Supply chain Policy

As a responsible member of the global supply chain, the Hamamatsu Photonics Group promotes sustainable procurement that considers environmental protection, human rights and labor, safety and health, and corporate ethics. This commitment extends not only to our own companies or groups but throughout our entire supply chain, grounded in mutual trust with suppliers.

As part of our sustainability efforts, we have distributed the "Hamamatsu Photonics Supply Chain Code of Conduct" to our suppliers. This document helps them understand the "Hamamatsu Photonics Group Basic Policy of Sustainability" and supports the promotion of Corporate Social Responsibility (CSR) activities. We believe that formulating and promoting activities for the Business Continuity Plan (BCP) is essential to fulfilling our responsibility to provide consistent and reliable products to society.

To ensure alignment with these goals, we are conducting surveys to assess the current status of our suppliers in promoting CSR activities and the BCP.

Basic Sales & Purchase Agreement

(Applicable to domestic supplier only)

 

Basic Sales & Purchase Agreement with major suppliers stipulate clauses on compliance with laws and regulations, respect for human rights, and environmental protection.

In principle, it is concluded at the time of new contracts and contract renewals. (Ratio of contracts to major suppliers: approx. 90%)

Supply chain Code of Conduct

Based on the Hamamatsu Photonics Group Code of Conduct, we have prepared the “Hamamatsu Photonics Supply Chain Code of Conduct” in reference to the “Guidelines for Responsible Corporate Behavior” published by the Japan Electronics and Information Technology Industries Association (JEITA), to which we are involved.

We review the guidelines on a regular basis to keep them up-to-date with current conditions.

When any change is made to the guidelines, we disclose our suppliers and make them aware of the change.

We conduct annual CSR self-assessment of our suppliers to check their compliance with the guidelines.

CSR and BCP Self-Assessment

CSR

We periodically conduct CSR self-assessment of our major suppliers to ascertain the status of their CSR activities, and ask them to report on their compliance with "Hamamatsu Photonics Supply Chain Ccode of Conduct".

In the case of a particularly insufficient evaluation, both parties will discuss and consider ways to improve the situation.

All suppliers were confirmed to be implementing CSR initiatives, and no serious problem was detected.

The high scoring items were “Human Rights/Labor”, “Quality/Safety”, “Health and Safety” and “Fair Trade/Ethics”, while “BCP” and “Others (Social Contribution)” showed room for improvement.

Target Suppliers: 265 companies (Equivalent to approx..90% of the procurement value of direct materials and subcontracted processed goods.)

Responding Suppliers: 241 companies (Rate: approx..91%)

We will continue to conduct surveys for those that have not yet responded the survey.

 

BCP

The BCP questionnaire is prepared to check whether suppliers have implemented BCP measures focused specifically on earthquakes. It consists of the following major categories with a total of 30 questions that can be answered by Yes or No. 

 

1. People (staff required, safety confirmation, after-hours response, support requests, employee awareness)

2. Goods (buildings, infrastructure, communication means, production facilities, raw material suppliers, storage items, logistics, stockpiles)

3. Information (systems, data, earthquake resistance measures, backups, recovery procedures)

4. Emergency system maintenance and early production recovery (emergency headquarters, early recovery, manuals, organizations, role sharing)

Target Suppliers: 189 companies (equivalent to approx..90% of the procurement value of direct materials and subcontracted processed goods)

Responding Suppliers: 134 companies (Rate: approx..71%)

Reporting system

We practice sustainable procurement in accordance with our "Hamamatsu Photonics Group Basic Policy of Sustainability". As part of these efforts, we have set up “Contact point for whistleblowing and reporting” for our suppliers.
