Hamamatsu Photonics Group Material Procurement Policy

Hamamatsu Photonics Group has a philosophy; we procure ideal and optimum "goods and services" in terms of QCDM (Quality, Cost, Delivery, Management) from the global market in compliance with laws and social norms. We are promoting sustainable procurement where the environment and human rights are taken into account.

1. Legal compliance

We do not infringe on any intellectual property rights and other rights of third parties, and we comply with all related laws and regulations including subcontracting laws and antitrust laws in our procurement transactions.

2. Fair and equitable transactions

We will disclose information of procurement transactions in a timely and appropriate manner, and always provide domestic and international suppliers with trading opportunities based on open competition.

3. Fostering partnerships

In order to ensure a stable supply, quality assurance, and their continuous improvement, we foster partnerships based on mutual trust and a long-term perspective of coexistence and coprosperity.

4. Promotion of sustainable procurement

We encourage procurement and production activities of suppliers where the environment and human rights are taken in account in accordance with the "Hamamatsu Photonics Group Basic Policy of Sustainability". We promote the activities of suppliers in accordance with the "Hamamatsu Photonics Guidelines for Business Conduct in Supply Chains" and mutually confirm the legitimacy of their production activities.

5. BCP measures

We encourage the formulation of a business continuity plan to minimize damage, ensure business continuity, and facilitate early recovery in the event of emergencies such as natural disasters and earthquakes.

6. Responsible minerals sourcing

The "Hamamatsu Photonics Group Responsible Minerals Sourcing Policy" promotes the sourcing of minerals such as tungsten, tin, tantalum, gold, and cobalt from conflict-free smelters certified by RMI. We also encourage suppliers to respond to the survey on responsible minerals sourcing by the use of the "Conflict Minerals Reporting Template (CMRT) "and the "Enhanced Minerals Reporting Template (EMRT)".

7. Confidentiality

We will manage and protect confidential information, intellectual property, and assets of our suppliers properly in our procurement activities. In addition, we promote efforts to reduce information security risks in the management of information and assets obtained from suppliers.

8. Fulfillment of contractual obligations

We kindly request the cooperation and understanding of our suppliers to complete the surveys related to Corporate Social Responsibility (CSR), Business Continuity Planning (BCP), Quality Management Systems (QMS), and Environmental Management Systems (EMS). Additionally, submission of the 4M change application, export order/foreign exchange order parameter sheets, chemical substance surveys, and responsible mineral surveys are mandatory as per our procurement contract. We encourage our suppliers to maintain accurate information, cooperate in timely investigations, and provide information as required.
